Orbis International is a nonprofit humanitarian organization that works in developing countries to save sight worldwide. Orbis prevents and treats blindness through hands-on training, public health education, improved access to quality eye care, and partnerships with local health care organizations in an effort to eliminate avoidable blindness. Orbis International-Ethiopia is a legally registered Country Office of this organization, carrying out the same mission in Ethiopia.
Orbis International-Ethiopia is seeking to recruit a Logistics Assistant for its Addis Ababa Office.
The main functions consist of, but not limited to the following:
A. JOB SUMMARY
Under the direct supervision of the Logistics and Transport Coordinator, the Logistics Assistant is responsible for managing the receipt and dispatch of both medical and non-medical supplies. The role involves close collaboration with procurement and other teams to ensure smooth operations.
The Logistics Assistant maintains accurate records of goods received, issued, and returned in compliance with Orbis protocols and government procedures, while generating timely reports. He/she ensures that the store management system functions efficiently and effectively, providing reliable logistics and store management services to support organizational needs.
B. DUTIES AND RESPONSIBILITIES
Under the overall supervision and guidance of the Logistics and Transport Coordinator, the Logistics Assistant will have the following specific duties and responsibilities:
Store Security and Access Management:
Keep store keys in safe condition and obtain permission before duplicating.
Control the safety of the stores and report incidents promptly.
Ensure warehouses are cleaned, stocks are secured, and protected from rain, dust, pilferage, and deterioration.
Receiving & Issuing Materials:
Receive incoming materials, prepare goods receiving notes, record, and file appropriately.
Issue materials against authorized requisitions and file store issue vouchers.
Control daily receipt and issue of items, distributing copies to relevant sections.
Maintain files of received and issued items.
Inventory & Stock Control:
Update monthly status of stores in each center and arrange proper inventory control.
Update bin cards and control stock balances.
Prepare monthly stock reports on stock movement for support offices and centers.
Control arrangement of items by location, shelf, code, and group for easy retrieval.
Ensure stock is arranged for easy physical count and stock-taking.
Prepare requisitions to replenish materials on time to avoid stock-outs.
Maintain optimum stock levels to minimize storage, insurance, and ordering costs.
Propose disposal of damaged, obsolete, or expired materials.
Participate in and facilitate annual physical inventory and regular stock takes.
Participate with fixed asset count team and keeping a file for fixed asset register for those used in pool with temporary handover.
Implement cost-effective material handling systems.
Ensure correct systems and procedures are followed by user departments.
Perform other responsibilities as directed by the Logistics and Transport Coordinator.
Duty Station: Addis Ababa
Salary: Based on organizational scale
Employment Duration: Until December 31, 2026 with possibility of extension depending on availability of budget
