Position Description
The Finance and Admin Officer plays a key role in ensuring financial integrity, accountability, and operational efficiency. The position supports financial management, budgeting, reporting, compliance, and administrative functions in line with organizational policies, donor requirements, and Ethiopian regulations.
Key Responsibilities
Financial Management & Accounting
Maintain accurate and up-to-date financial records using accounting systems (e.g., QuickBooks, Excel).
Process payments, receipts, and entries in compliance with policies.
Conduct bank, cash, and ledger reconciliations on a regular basis.
Ensure proper coding and recording of all financial transactions.
Budgeting & Financial Planning
Assist in the preparation, revision, and monitoring of project and organizational budgets.
Track expenditures and prepare budget vs. actual analysis.
Identify and report financial variances with recommendations.
Financial Reporting
Prepare monthly, quarterly, and annual financial reports.
Support internal reporting and donor financial reporting requirements.
Ensure timely and accurate submission of all financial reports.
Cash & Treasury Management
Manage petty cash, bank transactions, and cashbooks.
Conduct monthly bank reconciliations and monitor cash flow.
Liaise with banks on transactions, transfers, and foreign currency matters.
Administrative & Operational Support
Support procurement processes (quotations, bid analysis, documentation).
Maintain fixed asset register and conduct periodic inventory.
Support HR administration including payroll preparation and staff records.
Ensure proper filing and documentation of all financial and administrative records.
Statutory Compliance
Ensure timely processing and submission of taxes, pension, and other statutory obligations.
Maintain compliance with Ethiopian tax and labor laws.
And other duties assigned by the supervisor.
Skills and Competencies
Proficiency in accounting software (e.g., QuickBooks) and advanced MS Excel.
Strong analytical, organizational, and problem-solving skills.
High level of accuracy and attention to detail.
Ability to manage multiple priorities and meet deadlines.
Excellent communication and interpersonal skills.
Ability to work independently and under pressure.
Languages
Fluency in English and Amharic (required).
About You
Qualifications and Experience
Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
Minimum 10 years of relevant experience, preferably in NGO sectors.
Strong knowledge of accounting principles, financial reporting, and auditing.
Proven experience in diversified donor-funded project financial management and compliance.
