{"id":31825,"date":"2026-04-21T11:23:55","date_gmt":"2026-04-21T08:23:55","guid":{"rendered":"https:\/\/beleqet.com\/vacancy\/?post_type=job_listing&#038;p=31825"},"modified":"2026-04-21T11:48:37","modified_gmt":"2026-04-21T08:48:37","slug":"executive-management-assistant","status":"publish","type":"job_listing","link":"https:\/\/beleqet.com\/vacancy\/job\/executive-management-assistant\/","title":{"rendered":"Executive Management Assistant"},"content":{"rendered":"<p><strong>Responsibilities<\/strong><br \/>\nExecutive Management Assistant is responsible for:<\/p>\n<p>Executive Management support and personal assistance to the Country Director<br \/>\nSupport of Deputy Country Director (DCD) and Director of Administration and Finance (DAF)<br \/>\nSupport of internal and external communications of GIZ Ethiopia and Djibuti<br \/>\nSupport of preparation of Country Office steered internal and external meetings<br \/>\nHandling of high ranking visitors<br \/>\nThe Executive Management Assistant performs the following tasks:<\/p>\n<p>Tasks<br \/>\nPersonal assistance to the Country Director and management support<br \/>\nManage the Country Director\u2019s incoming and outgoing correspondence and signature files<br \/>\nOrganization and update of the country director\u2019s Outlook calendar.<br \/>\nPrepare and organize information materials for meetings of the Country Director.<br \/>\nManagement of meeting participants, invitations and bookings of meeting facilities<br \/>\nCirculation of meeting and conference agendas and protocols.<br \/>\nPreparing responses to incoming correspondence; drafting of emails, official letters, Power Point presentations<br \/>\nManagement of the Country Director\u2019s, the DCD\u2019s and DAF\u2019s travel itineraries including settlement of travel costs; travel support of the portfolio management team.<br \/>\nManagement of internal and external distribution and phone lists of the Country Office<br \/>\nSupport of the day-to-day running of the Country Office<br \/>\nHandling of high ranking visitors<br \/>\nPrepare and manage agendas and schedules of incoming and outgoing missions<br \/>\nOrganizing all GIZ specific requirements pre-arrival, during the stay and at departure for internal and external high ranking visitors in close cooperation with the events and the portfolio management team.<br \/>\nReception and guidance of high ranking internal and external visitors<br \/>\nInternal and external communications (PR)<br \/>\nSupport and substitute PR officer in internal and external communications<br \/>\nCoordination of social media activities, internal and external web content of GIZ Ethiopia and Djibuti<br \/>\nSupport of editing and designing of social media, web content and internal communication tools, e.g. GIZ presentations and country brochures<br \/>\nSupport of organization of internal and external events of the Country Office<br \/>\nSupport for media related procurements<br \/>\nCompile information materials for the media and monitoring of the media<br \/>\nAbout You<br \/>\nRequired qualifications, competences, and experience<br \/>\n<strong>Academic Qualification:<\/strong><\/p>\n<p>B.Sc. in communication or business administration or a related field with focus on PR, internal and external communications<br \/>\n<strong>Professional experience:<\/strong><\/p>\n<p>At least 5 years professional experience in an executive management support function.<br \/>\nCommunications specialist, with proven ability to communicate professionally, clear, articulate, and accurately, both verbally and in writing.<br \/>\nExcellent written and oral skills in standard and business English, with proven experience in typing, editing, and formatting of presentations, reports, manuals, newsletters, intranet \/ internet content, as well as other documents.<br \/>\nVery good written and oral skills in German are an asset<br \/>\nHighly organised multitasker, with active listening skills and excellent time management.<br \/>\nProven experience with a range of office software programs, including MS Word, MS Excel, MS Teams, MS Power Point, other graphic presentation software and Concur<br \/>\nHighly experienced in the use of MS Outlook as an email and calendar tool.<br \/>\nFamiliar with standard web-browsers, including using the Web for research.<br \/>\nExperienced in the coordination of video- and audio conference calls.<br \/>\nKnowledge of GIZ-specific platforms and software packages (e.g., Intranet;
