Key Duties and Responsibilities<\/p>\n
1. Procedures Development & Monitoring<\/p>\n
Develop, review, and update organizational procedures, guidelines, and manuals.
\nEnsure procedures comply with organizational policies, laws, and regulatory requirements.
\nMonitor the implementation of approved procedures across departments.
\nIdentify procedural gaps and recommend improvements to enhance efficiency and effectiveness.
\nProvide guidance and training to departments on standard operating procedures (SOPs).
\n2. Project Activities Monitoring<\/p>\n
Monitor project activities against approved plans, schedules, and budgets.
\nTrack project progress, milestones, outputs, and outcomes.
\nIdentify delays, risks, and implementation challenges and propose corrective actions.
\nEnsure project activities align with organizational strategic objectives.
\nCoordinate with project managers and department heads to resolve implementation issues.
\n3. Planning, Reporting & Evaluation<\/p>\n
Prepare periodic monitoring and performance reports (monthly, quarterly, annual).
\nDevelop monitoring tools, indicators, and reporting formats.
\nConduct field visits, desk reviews, and performance assessments.
\nSupport mid-term and end-term project evaluations.
\nPresent findings and recommendations to management.
\n4. Coordination & Communication<\/p>\n
Coordinate with internal departments, project teams, and external stakeholders.
\nServe as a focal point for procedural compliance and project monitoring matters.
\nFacilitate review meetings, progress discussions, and performance review sessions.
\nEnsure effective information flow between management and project implementers.
\n5. Risk Management & Compliance<\/p>\n
Monitor compliance with approved procedures and project agreements.
\nIdentify operational and project risks and recommend mitigation measures.
\nEnsure proper documentation and record management for procedures and projects.
\nSupport internal and external audit processes.
\n6. Leadership & Capacity Building<\/p>\n
Lead and supervise monitoring and procedures staff.
\nSet performance targets and conduct staff performance evaluations.
\nBuild staff capacity through coaching, training, and mentoring.
\nPromote a culture of accountability, continuous improvement, and results orientation.
\nSkills & Competencies<\/p>\n
Strong knowledge of project monitoring and evaluation principles.
\nExcellent understanding of organizational procedures and process improvement.
\nStrong analytical and problem-solving skills.
\nExcellent report writing and presentation skills.
\nLeadership and team management abilities.
\nProficiency in MS Office and project management tools.

\nEducation<\/p>\n
Bachelor\u2019s Degree in Management, Project Management, Economics, Engineering, Public Administration, Development Studies, or a related field.
